Overview

JOB TITLE: Program Assistant (Learning & Knowledge Management) – VAM

DURATION: 12 months (renewable)

ORGANIZATIONAL CONTEXT
This position is based in Port-au-Prince, Haiti and reports to the Reporting Officer .
JOB PURPOSE
The G6 Programme Assistant supports the implementation, coordination and monitoring of Learning and Knowledge Management activities within the RAM unit, by providing structured administrative, operational and technical support, thereby contributing to the effectiveness of analytical work, the capitalization of institutional knowledge and the sharing of knowledge.
MAIN RESPONSIBILITIES (non-exhaustive list, within the framework of delegated responsibilities)
Coordinate and strengthen the management, sharing and transfer of knowledge from monitoring, evaluation and analysis activities (RAM, VAM, M&E, research), in accordance with WFP’s knowledge management strategy.
Establish and maintain structured systems for the collection, storage, organization and reuse of knowledge, data and analytical products of the country office, taking into account local context and priorities.
Actively contribute to the development of an organizational learning culture by facilitating the regular sharing of analytical results, lessons learned, and best practices between units.
Support the strengthening of staff capacity in knowledge management and institutional learning, including through the preparation of training materials and the organization of internal sessions.
To serve as a focal point and “champion” of knowledge management, promoting WFP’s vision, added value and institutional approaches to learning and knowledge management.
Coordinate the creation, updating and dissemination of knowledge management content, ensuring its accessibility via internal channels and appropriate digital platforms (SharePoint, online directories, etc.).
Support the drafting, revision, formatting and dissemination of reports, presentations, analytical notes and bulletins produced by the RAM unit, in accordance with WFP recommended standards and formats.
Ensure the monitoring, archiving and traceability of analytical publications and RAM deliverables, and coordinate their sharing with the relevant units (Communication, Programs, sub-offices, partners).
Prepare and consolidate performance monitoring and analysis reports, including on the progress of RAM activities, resource utilization, performance by sub-office and projects (PO/MPO/PR), highlighting trends, gaps and risks.
Ensure coordination with RAM focal points in sub-offices to harmonize the planning, reporting and monitoring of activities related to monitoring, learning and knowledge management.
Organize and support knowledge and results sharing events (workshops, debriefing sessions, “Instant Café”, learning events), and perform any other related tasks assigned by management.
Provide structured administrative support to the RAM unit, including administrative monitoring of activities and resources, preparation and follow-up of terms of reference, logistical coordination of workshops, and management of administrative records.
Perform any other tasks required as needed.
QUALIFICATIONS AND EXPERIENCE
Education: High school diploma required. A university degree in political science, economics, statistics, information and knowledge management, business administration, social sciences or a related field is desirable.
Experience: At least 6 years of progressive and relevant experience in program support, information management, knowledge management, research, or analysis. At least 3 years of experience within the United Nations system, an international NGO, or a humanitarian organization is a significant asset.
KNOWLEDGE AND SKILLS
Solid knowledge of the principles of knowledge management, capitalization and organizational learning in humanitarian or development contexts.
Good understanding of research, monitoring and evaluation (RAM) processes, as well as quality requirements and dissemination of results.
Ability to organize, structure, archive and share information and knowledge products via internal platforms (SharePoint, institutional directories).
Experience in preparing, revising and formatting reports, analytical notes, presentations and institutional documents.
Proficiency in office and collaborative tools (MS Word, Excel, PowerPoint, Teams, SharePoint).
Ability to provide structured administrative support (monitoring of TORs, contracts, missions, workshops, documentation).
Ability to work in a coordinated manner with several units and sub-offices, respecting deadlines and priorities.
Excellent organizational skills, attention to detail, team spirit, and results orientation, in line with WFP values.
LANGUAGES: Proficiency in English and French is required.
